Volunteering

Purpose

This Standard Operating Procedure establishes the BCMA Association Standard for the recruitment, management and conduct of volunteers at BCMA events and activities. It ensures a safe, positive and professional environment for all participants in alignment with BCAC requirements.

Scope

Applies to all volunteers involved in BCMA sanctioned and non-sanctioned events, including competitions, training sessions, warm-up areas, and association activities.

Definitions

Volunteer: An individual who contributes time and skills without financial compensation. Event: Any BCMA sanctioned or non-sanctioned activity including competitions and training events. BCAC: British Columbia Athletic Commission.

Policy Statement

BCMA values and depends on its volunteers and is committed to providing a safe, respectful and inclusive environment. Volunteers will be treated fairly, given clear direction and supported in their roles in accordance with BCAC requirements and best practices.

Roles and Responsibilities

• Event Organizer: Recruits, assigns, and supervises volunteers. • Volunteers: Perform assigned duties responsibly, safely and professionally. • BCMA Board: Ensures this SOP is followed and reviewed regularly. • All Participants: Treat volunteers with respect and appreciation.

Procedures — Volunteering

7.1 Recruitment and Screening • Volunteers will be recruited as needed for BCMA events and activities. • Where required, volunteers working with minors must complete a Criminal Record Check in accordance with BCAC and applicable legislation. • All volunteers must receive an orientation to their role and responsibilities. 7.2 Training and Orientation • Volunteers will be provided with role-specific instructions and event information. • Key policies including safety, conduct, and emergency procedures will be reviewed. 7.3 Code of Conduct • Volunteers must act with integrity, professionalism and respect. • Harassment, discrimination, abuse or unsafe behaviour will not be tolerated. • Volunteers must follow BCAC rules and BCMA policies at all times. 7.4 Duties and Supervision • Volunteers will be assigned specific tasks by the Event Organizer. • Volunteers must follow directions from event staff and officials. • Volunteers must wear event identification where provided. 7.5 Safety and Well-Being • A safe and respectful environment will be provided for all volunteers. • Volunteers must report any safety concerns, incidents or inappropriate behaviour to the Event Organizer immediately. 7.6 Confidentiality • Volunteers may be privy to sensitive information and must keep all information confidential. • Photos or recordings must not be taken or shared without authorization. 7.7 Recognition and Removal • BCMA appreciates and recognizes the valuable contribution of all volunteers. • Volunteers who do not follow this SOP, BCMA policies or BCAC rules may be removed from their role at the discretion of the Event Organizer or BCMA Board.

Compliance

Failure to follow this SOP or BCAC requirements may result in removal from the event, loss of future volunteer opportunities, or other action as determined in accordance with BCAC regulations.
